On-Call Schedule

To view and update the on-call schedule, select the "Schedule" command from the "Operation" menu, or simply click the button .

You can also access the on-call schedule from the main screen by clicking the tab at the bottom of the screen.

Vizualisation

This screen displays the schedule of teams to call for a call group on a period of 12 months from the previous month of the current month.

The selected call group is the group displayed in the "Group" drop-down list at the top right of the screen. This control is grayed if the call group is selected in the tree of the main screen.

The on-call teams are represented by color strips. To identify the represented teams, use the "color legend" in the team list of the selected group on the right of the screen. You can view and edit the content of a team by double-clicking on the team in the team list. When the planned team over a period is not reachable (all users off-duty or without a valid call number), the corresponding strips are displayed with a "?".

By default, the on-call schedule displays the weekly program of the selected group, applied to the calendar period displayed. This programming is represented by light color strips (color of the associated team lighted). The periods programmed as reduced duty periods are represented by half strips. The weekly programming can be overwritten by forcing a team on specific calendar periods, symbolized by dark color strips (color of the associated team).

The visible part of the on-call schedule corresponds to days displayed on the left of the table for the month selected in the button panel below. The selected month always corresponds to the first day displayed in the schedule.

Days of the week are represented with a white background, lightly grayed. Days of the weekend (Saturday and Sunday) are represented with a light gray background. The holidays are represented with a gray background. Holidays marked with a cross in the left-most column are fixed holidays, independent of the year. The months are separated by a red line.

The schedule can ve scrolled from the 1st day of the month preceding the current month to the last day of the 10th month following the current month by using the scroll bar on the right of the schedule: day by day by clicking on the up or down arrows, from week to week by clicking above or below the scroll bar button, or by block by dragging this button.

By clicking on a "month" button, you can directly access the schedule for the month in question, from the 1st day of the selected month.

Active team

This field displays the name of the team that is currently active on the schedule (team called in case of alarm for the group). This team may be the scheduled team, a forced team (group in derogation), or a team having processed to a team changeover in advance. If this field is marked "(No team)", there is no active team for the group.

Depending on the status of the team changeover, an additional indication can be displayed below this field:

  • Changeover done: The scheduled team has changed over (team in advance).

  • Changeover waited (n): Waiting for team changeover (the team is late or duty ended in mandatory team changeover mode). The value that can be displayed in brackets (n) indicates the remaining time (in minutes) before being declared late.

  • Changeover timeout: The timeout for waiting the team changeover is expired.

  • Duty ended: Duty time is ended (before the scheduled time, except in mandatory team changeover mode).

Definition of holidays

The left column to the schedule is used to define the holidays for the current year.

To set a day of the table displayed as a holiday, click once in this column at the level of the desired day. The day is refreshed with a beige background. This day is defined as a public holiday for the current year. It will be automatically reset to normal day for the following year.

A second click in this column on the same row inserts a cross in the column (X) for the selected row. This means that the day is defined as holiday independent of the year (December 25 for example). It will remain registered as holiday for subsequent years.

A new click in this column removes the holiday definition for the day in question (white or yellow background).

Note: Holidays defined in the schedule apply to all call groups.

Copy of the on-call program

To reset the schedule from the weekly schedule defined for the selected group, click on the "Copy program" button. This action results in the deletion of all the time slots that have been forced on the schedule from the current day and time for the next eleven months.

The "Copy program" button is only valid when a weekly program is defined for the selected group.

Modifying the on-call schedule

To force an on-call team on the schedule:

  1. Select a team from the "Teams" list with one of the mouse buttons. The team color selected for the button in question appears in one of the 3 mouse buttons, below the "Teams" list. The choice "(Program)" means that you want to restore the programmed team (in the weekly schedule of the group) on the drawn area. The choice "(No team)" means that you do not want any on-call team on the drawn area (schedule erasure).

  2. If you wish to define a reduced duty period for the selected team, check the "Reduced duty" option. During reduced duty periods, the team is only called for alarms having a priority level higher than or equal to the minimal level defined in call options.

  3. Move the mouse pointer over the on-call schedule on the cell corresponding to the first hour of the first day of the wanted time area, then press the button corresponding to the team in question. Drag the mouse pointer, keeping the button pressed, to the cell corresponding to the last hour of the desired time area. Release the button. The selected time area becomes colored with the color of the selected team. If the "Reduced duty" option is selected, the strips corresponding to the selected time area are represented by half strips.

note 1: It is not possible to modify the schedule over a past period; If the defined time area overlaps an area belonging to the past, just the part corresponding to the future (from the current hour) will be modified.

note 2: If the time area to define is not rectangular, you should proceed in many times, for each of the rectangular part of the area.

Duplicating schedule areas

To duplicate sets of whole days of the schedule (weeks, fortnights, ...):

  1. First select the area to copy. To do this, click in the day column of the schedule, on the 1st day you want and drag the cursor to the last day of the desired selection. The selection appears in reverse video in the days column of the table. The "Copy" button (on bottom right of the screen) is enabled.

  2. Click on the "Copy" button. The "Paste" button becomes valid.

  3. Select, in the day column of the schedule, the first day of the recipient area by clicking over. The selected day appears in reverse video.

  4. Click on the "Paste" button. The previously copied selection is reproduced.

Operations 3) and 4) can then be reproduced again, the copied selection being still valid.

note: It is not possible to modify the schedule over a past period; If the defined time area overlaps an area belonging to the past, just the part corresponding to the future (from the current hour) will be modified.

Cancelling performed operations

The button allows you to cancel the operations performed on the on-call schedule (assignment or deletion of teams, duplication, copy of program). Each time you click on this button, you cancel the previous operation, going back in time. It is possible to undo up to the 10 last performed operations.

This button is only enabled if there is at least one operation to cancel.

The button allows you to return to the previous cancellations. It is validated only if at least one undo operation has been made.

Printing the schedule

To print a monthly schedule of a team, select the desired month and team and click on the button at the bottom right of the schedule.

This button is grayed when no team is selected.

The printer used is the printer selected by the "Printer Setup..." command in the "File" menu. If no setup has been performed, this is the default printer.

Calling the current on-call team

The button allows you to directly call the users of the current on-call team to transmit a service message to them.

It causes the display of the call dialog box (see User message), with a list of recipient users preset with the users of the current team.
