User Message

To broadcast a service message to one or more users, select the "Send a message..." command from the "Operation" menu, or simply click on the button .

This dialog can also be called from the tree of the main screen or the associated views by selecting the "Send a message..." command in the context menus attached to the "On-Call Management" sub-tree. In this case, the destination users are preselected according to the selection made during the command.

Addressees

To select the recipients of the message, simply select the desired operators from the list on the left (list of operators) and then drag them with the mouse in the list on the right (list of recipients). You can also click on the button to copy the selected operators in the list on the right.

The list of operators proposed as candidates for receiving the message (list on the left) can be restricted by the following filters:

  • Station: If a station is selected in this list, only the operators attached to this station are proposed.
  • Group: If a call group is selected in this list, only operators belonging to this group are proposed.
  • On-call operators only: If this box is checked, only operators belonging to a team currently on-call and who are active on this team are proposed.
  • On-duty operators only: If this case is checked, only the on-duty operators (not off-duty) and available (in an availability state for the reception of service messages) are proposed.

If the list of proposed operators corresponds to the intended recipients for the message, the button can be clicked to copy the entire list in the list of recipients (list on the right).

If there is an error in selecting the recipients, select the operators to be deleted in the right list and click on the button .

The button allows you to reset the list of recipients.

Media

This drop-down list allows you to define the media that you want to use to transmit the message. By default, the "Programmed Media" selection is proposed, meaning that the message will be transmitted using the currently active number for each operator (and thus the attached media). If a media type is specified (Email, Fax, Pager, SMS, or Vocal), the message will only be sent to operators using media of the specified type.

If an operator has multiple numbers attached to media of the specified type (eg, multiple fax numbers), the first active number of the specified type will be selected. If none of the media numbers is active, the 1st number of the specified type is selected.

Recipient operators that do not have media of the selected type will not be able to receive the message. They are grayed in the list of recipients.

The call number to be used to reach an operator can also be specifically designated. This number will be called regardless of the current programming of the call numbers for the operator in question.

To specify a specific call number for the selected operator in the list on the right, click the "Number" button. In the displayed dialog box, select the desired number. When a call number is specified for an operator, the number identifier in the call number list is indicated as <Id> after the operator name in the recipient list.

To delete an operator number, select the number in the list on the right, click on the "Number" button, then select the "Programmed number" option.

Message

According with the media used to reach each of the recipients, the message can be transmitted in different forms.

Long message

This is a message of up to 512 characters, intended for operators with alphanumeric receivers capable of displaying a relatively long message (email, fax, SMS, ...). The number of characters entered is displayed above the input field. The character set is free. Characters not accepted by a receiver type will be filtered at the time of transmission.

The long message may contain variable fields. To embed in the message the value of a tag of the supervision list, click on the button . Select the desired tag on the main screen. It is possible to select any defined tag, even in another data server. The numeric identifier of the tag is inserted in the edit field of the message at the current position of the cursor, in the form: &(tag Id).

Short message

This is a maximum 32 character message for operators with receivers with low display capacity, often accepting only numeric characters (pagers, beeps, ...). The number of characters entered is displayed on the right side of the input field. The character set is free. Characters not accepted by a receiver type will be filtered at the time of transmission.

Vocal message

Voice message for operators to be called by telephone.

To define a voice message, click on the "Browse..." button to search for a sound file containing a pre-recorded audio message or click on the "Record..." button to directly record the audio message.

The name of the created file is automatically assigned as "MCxxxx.WAV", where "xxxx" is a numeric code from "0000" to "9999". The file is saved in the "MESSAGE" subdirectory of the application data directory.

The "Listen" button lets you listen to the selected or recorded audio message.

Note: When the "text-to-speech" option is available, the voice message can be directly synthesized from the long message entered. To test the voice synthesis of the message entered, click on the "Listen" button.

Beeper call enabled

This checkbox allows to validate the call of an operator if it is equipped only with a receiver of type beep.

Text file to send with

A text file can be associated with the message. This file is used for the transmission of additional information by fax or email. It can be defined as a "contextual" file and incorporate the value of tags of the supervision list.

Click on the "Edit" button to directly enter the text to be transmitted. This text is stored in the MESSAGE subdirectory of the application data directory, in the form of a text file whose name is automatically assigned with the format "MCxxxx.TXT", where "xxxx" is a numeric code from "0000" to "9999".

The "Browse" button can be used to search and select an existing text file in the disc's directories.

Language

The transmitted information (long and short message, voice message, text file) can be defined in different languages, the information actually transmitted being automatically selected according to the language of the recipient operator.

The list of tabs displayed above the "Long Message" edit field allows you to select the input language for the information to be transmitted. The languages proposed are those that are already used (language of the user interface, languages of the defined operators).

To add a language to the list, click on the button to the right of the tabs and select the desired language from the displayed list. To delete a language, click on the same button, select the language to be deleted, then click on the "Mask" button.

Validation / Transmission

Clicking the "OK" button exits the dialog by saving the message in the mailbox of each of the operators selected as recipients.

By clicking on the "Send >>" button, you exit the dialog by triggering the immediate transmission of the message to the operators selected as recipients.
